Two international associations, the American Dairy Science Association and the American Society of Animal Science, share a reputation for attracting top researchers to their meetings for exchanges of scientific and technical information. This is an opportunity for you to join these two associations for one great meeting. In all, nearly 4000 animal agriculture professionals will be coming together for the event. We invite you to be a part of the 1998 ADSA-ASAS Joint Meeting in Denver, Colorado, July 27-31 by exhibiting with us.

Nearly 4000 dairy and animal industry professionals, representing nearly every major university, extension department, governmental agency, and agricultural corporation worldwide, will come together for an exchange of scientific information. ADSA and ASAS members are the decision makers you need to meet.

Exhibits that Attract the Right Crowds
Exhibits are a fully integrated part of the ADSA-ASAS Joint Meeting and Western Section Meeting, sharing the exhibit hall with the scientific poster sessions. More than 1500 scientific presentations will be presented during the joint meeting, nearly half of which are poster presentations, ensuring continual traffic through the exhibits and posters during the meeting. What's more, sessions are scheduled throughout each day, meaning that every meeting participant is likely to visit the exhibit area several times. Meeting goers will have ample time to study your display, exchange ideas, and learn about your products.

Professional Contact
Unlike many meetings at which your company or organization may exhibit, ADSA-ASAS meetings offer exhibitors full registration for the meeting, which includes participation in scientific presentations, professional enrichment seminars, and most social gatherings.Your representatives will have plenty of time to network, relax, and even enjoy their meeting experience!

Complete Registration List
As an added exhibitor benefit, ADSA-ASAS will send each exhibiting firm and organization a complimentary listing of meeting registrants shortly after the meeting. This listing will include the name, company or organization, and complete mailing address of every person who registered for the 1998 Joint Meeting.

Decoration and Drayage
Booths will have standard 8' back drop drapes with 3' dividers. Each exhibitor will have a draped table, 2 side chairs, a waste can, and a 7" x 44" identification sign. Information concerning drayage, booth furnishings, electrical services, etc. will be mailed to exhibitors in May 1998.

Housing
Five hotels have been enlisted to serve as ADSA-ASAS meeting properties. No matter which hotel you choose, you ll be no more than a two- to three-block walk from the convention center, thanks either to their proximity to the convention center or to the 16th Street Mall's free shuttle. All housing arrangements, including requests for hospitality suites, should be made through the Denver Housing Bureau. A housing form will be sent with your exhibit confirmation, upon request, or may be obtained from this web site. Exhibitors are encouraged to make reservations early for the best choice of accommodations. For more information, contact the Denver Housing Bureau at 303/892-1112 ext. 601.

Service Information

Booth Rates
All spaces are 10' x 10'. Spaces are priced according to their zone.
Zone A — $950 (corner spaces)

Zone B — $800 (all other spaces) Floorplan of convention center

Please select six booth locations from the floor plan (by number) and list in order of preference on the enclosed Agreement to Reserve Exhibit Space. Space reservations received with payment by April 15, 1998 will be assigned choice of space(s) on a first come, first served basis. Contracts received after April 15 will be honored on an availability basis. To ensure your reservation, payment should accompany application. Special space requests (such as 4-space islands, end caps, etc.) should be received before April 15. Special requests received after April 15 will be accommodated on an availability basis only.

Reservation Deadline
The registration deadline is April 15, 1998 to guarantee exhibit space.
All reservations received with payment by April 15 will be assigned preferred spaces on a first come, first served basis. All reservations received after April 15 will be accepted on an availability basis. Space will not be assigned until payment is received.

Complimentary Registration
Each exhibiting firm will be given two free annual meeting registrations for each 10' x 10' space reserved valued at more than $400. Special exhibitor identification badges will be provided for additional representatives working at the exhibit but not wishing to attend sessions. Exhibitor registration materials will be available Spring 1998 and will be sent after that date, upon receipt of your contract, or at your request. All ADSA-ASAS Joint Meeting registrants, including exhibitors, must complete registration materials.

GENERAL INFORMATION AND REGULATIONS FOR EXHIBITING AT
The 1998 ADSA-ASAS Joint Meeting and Western Section Meeting

  1. Payment for exhibit booths must accompany the application for exhibit space.
  2. Space reservations received by April 15, 1998 will be assigned choice of space(s) based on receipt of Agreement to Reserve Exhibit Space with payment. Contracts received after April 15 will be honored on an availability basis.
  3. All booths must be set up and ready for the official opening of the exhibit hall at the time specified in the exhibit prospectus. Exhibitors are not to begin breaking down booths before the official closing time as specified in the exhibit prospectus.
  4. Cancellation policy: Exhibitors who notify exhibit management 90 days or more prior to the opening of the exhibit qualify for complete refund, less a $75 cancellation fee. If space is cancelled from 90 to 30 days before the opening of the exhibit, a 50% refund will be made. If the space is cancelled 30 days or less before the opening of the exhibit, the exhibitor will be liable for the entire space fee. All cancellations must be made in writing to the Exhibits Coordinator.
  5. Exhibitors are prohibited from making sales that result in the exchange of merchandise and/or money in the exhibit hall.
  6. ADSA-ASAS reserves the right to direct the show decorator to uncrate and set up any exhibit display that is on the floor, in its booth, but has not been uncrated by the hour before the opening time. This does not apply to packing boxes of the exhibitor's product but to booth structures (shelving, backdrops, lights, and the like). The exhibitor will be billed for labor and other costs involved. Exhibitors may handle their own hand-carry materials in and out of the Denver Convention Complex facilities. However, any materials requiring the use of equipment for delivery, i.e. dollies, fork lifts, hand trucks, will be handled by the Denver Theatrical Stage Employees Union, ISTSE, Local 7.
  7. Exits and aisles must be clear of boxes and materials during show hours. Electrical lines must be accessible at all times.
  8. Nothing shall be attached to any of the pillars, walls, doors, floors, etc. in such a manner as to deface or destroy the property. The use of cellophane or masking tape or similar products on painted or papered surfaces is specifically prohibited. All posters, signs, and similar advertisements should be posted on billboards designed for that purpose. Nails, hooks, tacks, and screws must not be driven into pillars, walls, doors, floors, etc.
  9. Exhibits must be designed and erected in such a manner as to avoid blocking the view of adjacent exhibits.
  10. Audiovisual and other noise-emitting equipment used in exhibits may not be operated in a manner that will disturb other exhibitors.
  11. All demonstrations or other sales activities in the exhibit hall must be confined to the limits of an exhibitor's own exhibit booth. Distribution of literature may be done only from within the booth assigned to the exhibitor presenting such materials. Firms or organizations not assigned space in the exhibit hall will not be permitted to solicit business within the exhibit hall.
  12. Character of the exhibits is subject to approval of the ADSA Board of Directors and ASAS Board of Directors. The right is reserved to refuse applications of concerns not meeting standards required or expected, as well as the right to curtail or to close exhibits or parts of exhibits that reflect unfavorably on the character of the meeting. This applies to displays, literature, advertising novelties, souvenirs, conduct of persons, etc.
  13. Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, and hold harmless the American Dairy Science Association (ADSA), the American Society of Animal Science (ASAS), the Colorado Convention Center, and its employees and agents from any and all claims, losses, and damages to persons or property, governmental charges or fines, and attorney's fees arising out of or caused by Exhibitor's installation, removal, maintenance, occupancy, or use of the exhibiting premises or a part thereof, excluding any such liability caused by the sole negligence of the Colorado Convention Center. In addition, Exhibitor acknowledges that ADSA, ASAS, and the Colorado Convention Center do not maintain insurance covering Exhibitor's property and that it is the sole responsibility of the Exhibitor to obtain business interruption and property damage insurance covering such losses by the Exhibitor.
  14. Each exhibitor is charged with knowledge of and compliance with all laws, ordinances, and regulations pertaining to health, fire prevention, and public safety. All booth decorations must be flame proofed, and all hangings must clear the floor. Electrical wiring must conform with National Electrical Code Safety Rules.
