We are looking forward to your presentation at the ADSA 2025 Annual Meeting! All instructions and guidelines to prepare and upload your presentation—whether you are presenting a poster, oral presentation, symposium talk, or 3-minute spotlight—are available in the following.

IMPORTANT: You must be registered for the 2025 ADSA Annual Meeting to complete your presentation upload.

Oral Presentation

All oral and symposium PowerPoint presentations must be uploaded in advance, either online or in the speaker upload area on site (room M115 in the main concourse of the Kentucky International Convention Center).

  • No presentations or changes will be accepted while your assigned session is in progress, between presentations, or during breaks. 
  • Files will not be accepted by email or file upload services (e.g., Dropbox).

The deadline for advance online uploading of oral presentations is 11:59 p.m. CDT on Wednesday, June 18, 2025. If you do not upload your presentation online by the deadline, you must upload your oral presentation at the convention center by 5:00 p.m. on the day before your scheduled oral presentation or by noon on Sunday, June 22, if your oral presentation is scheduled for Sunday; no other exceptions will be made.

Speaker Resources

Each oral session room will be equipped with a laptop computer configured with Microsoft Windows, Microsoft PowerPoint, an LCD projector, a laser pointer and slide advancer, and standard audio equipment (podium and lavaliere microphones). The use of personal laptop computers for presentations in the session rooms is not permitted.

Presentation File Guidelines

  • Oral presentations
    • PowerPoint is strongly recommended for oral presentations, and Adobe PDF is also accepted.
    • Presentation files must be compatible with Microsoft PowerPoint 2007 or later.
    • For accurate text rendering, it is recommended that you embed all fonts.
    • Presentation screens will have a 16:9 (widescreen) aspect ratio.
    • PowerPoint Presenter view (notes viewing mode) will not be available.

Log in to the abstract submission application to upload. The deadline to upload oral presentation slides online is 11:59 p.m. CDT on Wednesday, June 18, 2025.

INSTRUCTIONS

  • IMPORTANT: For oral presentation slide uploads, the original abstract submitter must be the one to complete the submission.
  • After you click the Upload Oral Presentation Slides button, click the "Login and Manage Abstracts" link and be sure to use the same account login information that was created at the time of submission. If you do not recall this information, use the "forgot password" link on the log-in page.
  • Once you are logged in, click the “upload oral slides" link for your abstract in the table to go to the upload page.

If you are an invited speaker who did not submit an abstract, please contact us at abstract@assochq.org for instructions. Do not send your presentation file by email or file upload service (e.g., Dropbox).

ORAL PRESENTATION SLIDES ON-SITE UPLOAD

Oral and symposium presentations: If you do not upload online, files must be uploaded in the speaker upload area on site (room M115 in the main concourse of the Kentucky International Convention Center) by 5:00 p.m. on the day before your scheduled oral presentation or by noon on Sunday, June 22, if your oral presentation is scheduled for Sunday; no other exceptions will be made.

No internet access is available in the speaker upload room. Please bring your file on a USB stick. The speaker upload area is available during these hours:

  • Sunday, June 22, 7:00 a.m.–5:00 p.m.
  • Monday, June 23, 7:00 a.m.–5:00 p.m.
  • Tuesday, June 24, 7:00 a.m.–5:00 p.m.
  • Wednesday, June 25, 7:00 a.m.–5:00 p.m.

Poster Presentation

If you have not already done so, we recommend you review the 2025 poster guidelines with all the instructions you will need to print, hang, and present your poster. We have dedicated three session times throughout the meeting for poster presentations:

  • Monday 7:30 a.m.–9:00 a.m.
  • Tuesday 7:30 a.m.–9:00 a.m.
  • Wednesday 7:30 a.m.–9:00 a.m.

Posters will be assigned a coordinate (e.g., A4, B7, H12) for each board in the exhibit hall, and boards will be marked with poster placards with each coordinate. Location assignments will be listed in the meeting app and emailed to presenting authors the week before the meeting.

You must print and hang your poster and present it on your designated day (Monday, Tuesday, or Wednesday) in the exhibit hall. Posters must be mounted by 7:00 a.m. and will hang all day. Posters must be removed by 6:30 p.m.

Presentation File Guidelines

  • Poster presentations
    • The poster board surface area 48 inches (121.9 cm) high and 96 inches (243.8 cm) wide. Your poster does not need to fill the entire area available but cannot be larger than the surface area provided.
    • The top of the poster space should include the abstract number, title, authors, and affiliations. The lettering for this section should be at least 1 inch high.
    • Presenters must furnish their own tacks or push pins (Velcro may not be used).
    • A PDF is required for uploading poster presentations to the ADSA 2025 meeting app (in addition to the printed poster to hang at the meeting).
    • For accurate text rendering, it is recommended that you embed all fonts. 
POSTER PDF UPLOAD (optional but recommended)

Make your poster available to all attendees at any time by uploading a PDF of your poster to the ADSA 2025 meeting app. (For the poster PDF upload, please save your physical poster print file as a PDF file.)

Presenters will be sent an email from alerts@ativsoftware.com on or around June 4 with instructions for uploading their poster PDF and video presentation. Uploaded materials will become available to view through the app starting Thursday, June 19. 

POSTER RECORDED PRESENTATION (MP4) UPLOAD (optional but recommended)

Maximize your poster's exposure at the meeting by uploading a 12-minute prerecorded video presentation to the ADSA 2025 meeting app!

Presenters will be sent an email from alerts@ativsoftware.com on or around June 4 with instructions for uploading their poster PDF and video presentation. Uploaded materials will become available to view through the app starting Thursday, June 19.

3-Minute Spotlight Presentation

In addition to in-person poster presentations, select abstracts have also been invited to participate in our new abbreviated 3-minute poster spotlights to maximize the ADSA annual meeting experience.

Keep in mind that you will need to prepare a traditional poster presentation and a 3-minute oral presentation limited to a single PowerPoint slide.

Both parts of your presentation come with a unique abstract number and upload requirements outlined below.  

Presentation File Guidelines

  • 3-minute spotlight presentations involve both a traditional poster presentation and a 3-minute oral presentation.
    • For the spotlight oral portion
      • Presenters will be limited to a single PowerPoint slide, which may NOT use animations, sound, video, or additional electronic media.

During the 3-minute spotlight, presenters will be limited to a single PowerPoint slide, which may not use animations, sound, video, or additional electronic media. The presentation is limited to 3 minutes, and questions will be held until the afternoon ice cream breaks in the exhibit hall. 

Your presentation must be uploaded in advance, either online or in the speaker upload area on site (room M115 in the main concourse of the Kentucky International Convention Center).

  • No presentations or changes will be accepted while your assigned session is in progress, between presentations, or during breaks. 
  • Files will not be accepted by email or file upload services (e.g., Dropbox).

  • Once you are logged in, find the abstract with the "-SPOT" suffix and click the “upload oral slides” link for your abstract in the table to go to the upload page. Unlike the poster or poster presentation recording, your 3-minute spotlight file cannot be loaded into the app.
3-MINUTE SPOTLIGHT SLIDE ON-SITE UPLOAD
