We are looking forward to your presentation at the ADSA 2026 Annual Meeting! All instructions and guidelines to prepare and upload your presentation—whether you are presenting a poster, oral presentation, or symposium talk—are available below.

IMPORTANT: You must be registered for the ADSA 2026 Annual Meeting to complete your presentation upload.

Upload Deadlines

  • Oral presentation slide upload (online): Wednesday, June 17, 2026, by 11:59 p.m. CT (add to your calendar)
  • Poster PDF and presentation recording upload (optional but recommended): Wednesday, June 17, 2026, by 11:59 p.m. CT (add to your calendar)
  • Oral presentation slide upload (on site): by 5:00 p.m. CT on the day before your scheduled oral presentation, or by 11:00 a.m. on Sunday, June 21, if your oral presentation is scheduled for Sunday; no exceptions will be made.

Oral Presentations

All oral and symposium PowerPoint presentations must be uploaded in advance, either online or in the speaker upload area on site (exact location coming soon).

  • No presentations or changes will be accepted while your assigned session is in progress, between presentations, or during breaks.
  • Files will not be accepted by email or file-upload services (e.g., Dropbox).

The deadline for advance online uploading of oral presentations is 11:59 p.m. CT on Wednesday, June 17, 2026. If you do not upload your presentation online by the deadline, you must upload your oral presentation at the convention center by 5:00 p.m. on the day before your scheduled oral presentation, or by 11:00 a.m. on Sunday, June 21, if your oral presentation is scheduled for Sunday; no exceptions will be made.

Speaker Resources

Each oral session room will be equipped with a laptop computer configured with Microsoft Windows, Microsoft PowerPoint, an LCD projector, a laser pointer and slide advancer, and standard audio equipment (podium and lavaliere microphones). The use of personal laptop computers for presentations in the session rooms is not permitted.

Presentation File Guidelines

  • Oral presentations
    • PowerPoint is strongly recommended for oral presentations, and Adobe PDF is also accepted.
    • Presentation files must be compatible with Microsoft PowerPoint 2007 or later.
    • It is recommended that you embed all fonts for accurate text rendering.
    • Presentation screens will have a 16:9 (widescreen) aspect ratio.
    • PowerPoint Presenter view (notes-viewing mode) will not be available.

Log in to the abstract submission portal to upload. The deadline to upload oral presentation slides online is 11:59 p.m. CT on Wednesday, June 17, 2026.

INSTRUCTIONS

  • IMPORTANT: The original abstract submitter must be the one to upload oral presentation slides.
  • After you click the “Upload Oral Presentation Slides” button, click the “Login and Manage Abstracts” link, and be sure to use the same account login that was created at the time of submission. If you do not recall this information, use the “Forgot password” link on the log-in page.
  • Once you are logged in, click the “Upload oral slides" link for your abstract in the table to go to the upload page.

If you are an invited speaker who did not submit an abstract, please contact us at abstract@assochq.org for instructions. Do not send your presentation file by email or a file-upload service (e.g., Dropbox).

ORAL PRESENTATION SLIDES: ON-SITE UPLOAD

Oral and symposium presentations: If you do not upload online, files must be uploaded in the speaker upload area on site (exact location coming soon) by 5:00 p.m. on the day before your scheduled oral presentation, or by 11:00 a.m. on Sunday, June 21, if your oral presentation is scheduled for Sunday; no exceptions will be made.

No internet access is available in the speaker upload room. Please bring your file on a USB stick. The speaker upload area is available during these hours:

  • Sunday, June 21 | 7:00 a.m.–5:00 p.m.
  • Monday, June 22 | 7:00 a.m.–5:00 p.m.
  • Tuesday, June 23 | 7:00 a.m.–5:00 p.m.
  • Wednesday, June 24 | 7:00 a.m.–5:00 p.m.

Poster Presentations

If you have not already done so, we recommend you review the 2026 poster guidelines with all the instructions you will need to print, hang, and present your poster. We have dedicated three session times throughout the meeting for poster presentations:

  • Monday, June 22 | 7:00 a.m.–9:00 a.m.
  • Tuesday, June 23 | 7:00 a.m.–9:00 a.m.
  • Wednesday, June 24 | 7:00 a.m.–9:00 a.m.

Locating the Correct Poster Board

We are not using a coordinate poster system at #ADSA2026! Your poster number will be the same as your corresponding abstract number, which can be found in the abstract system, speaker emails sent from ADSA, the meeting app, and the program. Please note that this number is different from your abstract tracking number.

Refer to the map in the Program at a Glance (either the print version or in the app) to locate your poster board location, which will be marked with placards noting each poster number. As noted, each poster board number corresponds to the abstract number as noted in the program. Poster numbers are preceded by a letter that matches the day you are scheduled to present.

For example,

M for Monday posters,
T for Tuesday posters, and
W for Wednesday posters.

During the meeting, all posters will be mounted and displayed in the exhibit hall for public viewing. The presenting author must be in attendance during their assigned poster session.

In the app, you’ll be able to click on a poster presentation number you’re interested in—marked with a pin symbol—and the app will drop a pin on the map to the poster location.

Location assignments will be emailed to presenting authors the week before the meeting. Poster locations will also be listed in the meeting app and the program.

You must print and hang your poster and present it on your designated day (Monday, Tuesday, or Wednesday) in the exhibit hall. Posters must be mounted by 6:30 a.m. and will hang all day. Posters must be removed by 6:30 p.m.

Presentation File Guidelines

  • Poster presentations
    • The poster board surface area is 48 inches (121.9 cm) high and 96 inches (243.8 cm) wide. Your poster does not need to fill the entire area available, but cannot be larger than the surface area provided.
    • The top of the poster space should include the abstract number, title, authors, and affiliations. The lettering for this section should be at least 1-inch high.
    • Presenters must furnish their own tacks or push pins (hook-and-loop fasteners, such as Velcro, or poster-hanging strips may not be used).
    • A PDF is required for uploading poster presentations to the ADSA 2026 meeting app (in addition to the printed poster to hang at the meeting).
    • It is recommended that you embed all fonts for accurate text rendering.
POSTER PDF UPLOAD (optional but recommended)

Make your poster available to all attendees at any time by uploading a PDF of your poster to the ADSA 2026 meeting app. (For the poster PDF upload, please save your physical poster print file as a PDF file.)

Presenters will be sent an email from alerts@ativsoftware.com on or around June 4 with instructions to upload their poster PDF and video presentation by Wednesday, June 17, at 11:59 p.m. CT. Uploaded materials will be available to view through the app starting the following Thursday.

POSTER RECORDED PRESENTATION (MP4) UPLOAD (optional but recommended)

Maximize your poster’s exposure at the meeting by uploading a 12-minute, prerecorded video presentation to the ADSA 2026 meeting app!

Presenters will be sent an email from alerts@ativsoftware.com on or around June 4 with instructions to upload their poster PDF and video presentation by Wednesday, June 17, at 11:59 p.m. CT. Uploaded materials will be available to view through the app starting the following Thursday.

IMPORTANT: When uploading your poster and video recording, be sure to note the following:

  • You must still print and hang your poster and present it on your designated day (Monday, Tuesday, or Wednesday) in the exhibit hall.
  • Uploaded posters and recorded video presentations will be available to all app users and can be shared without restriction.
  • Please do not include any proprietary or confidential material in any material you upload.
  • There will be a delay between when posters are uploaded and when they appear in the app.
  • Please note: You must be registered for the ADSA2026 Annual Meeting to complete your presentation upload. The upload will require the same ADSA account login you used during your meeting registration. Did someone else register you for the meeting? Simply reset your password!
